The best virtual medical scribe for small clinics depends on what you need most. Virtual Mojoe suits practices that want a managed, dedicated scribe. Hello Rache has the lowest published flat rate with no contract. HelpSquad fits part-time needs with strict PHI handling. My Mountain Mover offers hands-on onboarding. MedVA may suit bilingual practices.
Virtual Mojoe publishes this post and appears on the list, in first position. We scored every company, including ourselves, against the same public criteria, and we mark anything a vendor does not state as “Not published.”
Most “best of” lists lean toward large enterprise vendors built for hospital systems. If you run a bigger group, our top 5 virtual medical scribe companies in the USA are the better fit. This guide is for the other end of the market: the solo physician and the owner of a small clinic.
What “small clinic” means here, and why it changes the choice
For this list, small means a clinic with 1 to 10 providers. That is not a niche. The AMA Physician Practice Benchmark Survey (2024) found that 47.4 percent of physicians work in practices of 10 or fewer physicians. A near-majority of doctors sit in a small independent practice or something close to it, yet most vendor comparisons ignore them.
Three realities define this segment, and they change how you should shop:
- The owner often finishes the charts. There is rarely a team to absorb documentation, so the physician does it at night.
- There is no IT or compliance team. You cannot assume someone on staff will vet a vendor’s security. The vendor has to make that easy.
- One bad hire hurts more. In a ten-person office, a scribe who leaves or underperforms is felt immediately, and replacing them takes real effort. We cover the cost side in our comparison of virtual and in-house scribes.
A virtual medical scribe for small practice needs to be simple to start, forgiving on minimums and managed well enough that you are not supervising it yourself.
How we scored
We checked each company only against its own website on the day of writing. We judged seven things:
- Published scribe pricing
- Minimum hours or contract
- Real-time and post-visit scribing options
- The same scribe every day
- Stated BAA and security model
- A management or QA layer
- Backup coverage
If a company did not state something, we wrote “Not published.” We did not guess, and we did not borrow prices from review sites. Please re-check every line with the vendor before you sign, since pricing and terms change.

The five companies
1. Virtual Mojoe
Best for practices that want a managed, dedicated scribe
Virtual Mojoe is our own service, so weigh this entry with that in mind. Our virtual medical scribes are dedicated and full time, and never shared across practices.
| Fact | Detail |
|---|---|
| Pricing | Custom quote |
| Real-time and post-visit | Both |
| Same scribe daily | Yes, dedicated to one practice |
| Management layer | Resource manager watching daily output, a team lead, shift reports, task tracking, SOPs and quarterly reviews |
| Specialty matching | Yes |
| BAA and scribe location | Not published on the page |
Strengths: The oversight is the point. A small clinic does not have to manage the scribe, because a resource manager and team lead do that, and SOPs keep the workflow steady through vacations and turnover. Our guide to virtual medical scribe services explains the model in more detail.
Not ideal if: You want a published hourly price to compare today, or a purely part-time arrangement. Pricing is by custom quote.
2. Hello Rache
Best for the lowest published flat rate
Hello Rache is the budget-first option on this list, and it is the clearest example of an affordable virtual medical scribe with its terms in plain view.
| Fact | Detail |
|---|---|
| Pricing | $9.50 per hour, flat |
| Contract | No contracts, no setup fees, cancel anytime, weekly billing |
| Staff | Licensed nurses and healthcare professionals in the Philippines |
| Same assistant daily | Yes |
| Real-time and post-visit | Not published |
| BAA wording | Not published on its HIPAA page, so ask |
Strengths: Flat pricing, weekly billing and no lock-in make it easy to test. It was founded in 2017 by Dr. Mark Carnett, D.O., and states that it has served more than 6,000 practices.
Not ideal if: You want a stated management layer or a clear BAA on the page. Staff are based offshore, which means you should add that location to your own risk review.
3. HelpSquad
Best for part-time hours with strict PHI handling
HelpSquad gives small practices a path to a part-time virtual medical scribe, with some of the clearest security language on the list.
| Fact | Detail |
|---|---|
| Pricing | $10 to $13 per hour for scribe roles on its scribe page; the homepage shows a different tier, so confirm the exact rate |
| Minimum | 20 hours a week, 3-month initial term (homepage FAQ) |
| BAA | Signed at company level |
| Security | Secure virtual desktop; no copy, paste or download of PHI |
| Start time | About 2 weeks to an initial scribe |
| Base | US-managed from Doylestown, Pennsylvania |
| Same scribe daily | Not published |
Strengths: The PHI controls are specific and easy to verify, which matters when you have no compliance team. It also lists real-time and asynchronous scribing.
Not ideal if: You need fewer than 20 hours a week, or you want no initial term. The conflicting price points are worth a direct question before you commit.
4. My Mountain Mover
Best for hands-on onboarding
My Mountain Mover pairs a dedicated full-time scribe with guided onboarding, a good match for owners who want someone to walk them through the start.
| Fact | Detail |
|---|---|
| Staffing | Dedicated full-time scribe, with specialty matching |
| Support | Guided onboarding and account management |
| Compliance | HIPAA training; MGMA corporate member badge |
| Pricing, BAA, scribe location | Not published in our check; see its pricing page |
| Real-time and post-visit | Not published |
Strengths: Onboarding help and account management reduce the learning curve for a first-time buyer.
Not ideal if: You need to see a price and BAA terms before you talk to anyone, or you want part-time hours. Check its pricing page directly.
5. MedVA
Best for bilingual practices, if confirmed
We could not confirm MedVA’s scribe details on its own website at the time of writing. That is why almost every row below reads “Not published.”
| Fact | Detail |
|---|---|
| Live scribing | Listed as a service |
| Pricing, minimums, BAA | Not published in our check |
| Scribe location | Not published |
| Bilingual accounts | Ask the vendor to confirm |
Strengths: If its bilingual Spanish and English support holds up, it could serve practices with a large Spanish-speaking patient base.
Not ideal if: You need documented terms up front. Ask for the scribe page, the price and the BAA in writing before you go further.
We left out enterprise vendors on purpose, since they are built for large systems. If you run a bigger group, see our full list of 10 scribe companies.
Human scribe or AI scribe for a small clinic?
This is the question we hear most often, and the honest answer is that it depends on your tolerance for review work. The human vs AI scribe for small practice decisions comes down to who catches mistakes.
An AI scribe drafts notes automatically, often at a lower monthly cost per provider. The trade-off is that you carry more of the review, and a draft with a subtle error still carries your signature. A human scribe costs more per hour, but brings context, template knowledge and a second pair of eyes. For a virtual scribe for solo practitioner use, where the doctor is also the only reviewer, that second pair of eyes can matter.
Neither is wrong. If you are tempted by AI, test it on a handful of real visits and read every note. If you also need front-desk help, a virtual medical assistant may be the better first hire.
How to choose
Use this checklist with any vendor on the list, including us:
- Get the BAA first. No PHI access before it is signed.
- Ask where scribes work. Home, a secure facility or offshore each carry different risk.
- Ask about backup coverage. What happens when your scribe is out?
- Ask whether you get the same scribe daily. Consistency matters in a small office.
- Confirm the minimums and contract terms in writing.
- Insist on a pilot. Do not commit to the whole clinic on day one.
Run a 30 to 60 day pilot with one provider
Start with the provider who carries the heaviest charting load. Take a baseline of chart closure time and after-hours EHR minutes, then compare at 30 and 60 days. For the metrics to track, see our guide to measuring whether a scribe is helping. A short, honest test beats any sales page.
